Privacy policy

This policy explains what personal information Indoor Golf Management (“IGM”, “we”), operated by Jason Law, a sole proprietor, collects through our products — SimBook (app.simbook.indoorgolfmanagement.com), LeagueNight (leaguenight.io), BayTab and this website — how we use it, who we share it with, and the choices you have.

1. Who is responsible for your information

Our products are used by golf simulator venues (“clubs”) to take bookings, sell memberships and run leagues.

  • When you book, join or play at a club, that club decides what it collects about you and how it uses it. We process that information on the club’s behalf. Questions about a club’s own use of your information should go to the club first; we’ll help them answer.
  • For your IGM account itself (one sign-in that works across SimBook, LeagueNight and BayTab), for venues that subscribe to our products, and for this website, we are responsible.

2. What we collect

  • Account details: your name, email address, phone number (if you give it) and password (stored only as a secure hash). If you sign in with Google, we receive your name, email address and profile picture from Google — nothing else from your Google account.
  • Bookings and memberships: the times, bays, players and guests you book; memberships, packs, gift cards and account balances; waivers you sign; check-ins; and notes a club adds.
  • Leagues: teams, schedules, scores, handicaps and dues status.
  • Payments: card payments are handled by Stripe. We never see or store your full card number; we keep a record of each payment (amount, date, last four digits and card brand).
  • Door access: if a club uses smart locks, the access codes issued to you and when they were used.
  • Venue staff: for people who work at a club, their role and the actions they take in the app (an activity log the club can see).
  • How you use our products: pages viewed, features used, device and browser type, approximate location from your IP address, and — to find and fix problems — recordings of how pages were used (session replay). Passwords and payment fields are never recorded.
  • Messages: what you send us or ask our in-app help assistants.

3. How we use it

  • To provide the products: take bookings, bill memberships, run leagues, and send the confirmations, reminders and receipts that go with them.
  • To keep your account secure, and to prevent fraud and abuse.
  • To answer questions and give support.
  • To understand how the products are used so we can fix problems and improve them.
  • To send you product news if you’ve agreed to it. You can unsubscribe from any marketing email at any time; service messages about your bookings or account still go out.
  • To meet legal, tax and accounting obligations.

We don’t sell your personal information, and we don’t use it to show you ads on other sites.

Optional SimBook text messages: if you separately opt in, Indoor Golf Management uses your mobile number to send transactional SimBook booking confirmations, reminders and changes, waitlist availability updates, and membership account notifications at participating clubs. Messages identify SimBook by Indoor Golf Management and the relevant venue. Providing a phone number, making a booking or accepting our general terms does not by itself give consent to receive these texts. We retain your consent record and opt-out status so we can respect your messaging choices. Reply STOP to stop texts or HELP for help.

4. Who we share it with

With the club you book or play at, so they can run your booking, membership or league.

With the service providers that run parts of our products for us. They may use your information only to provide their service:

  • Stripe (payments)
  • Supabase (database, sign-in and file storage)
  • Vercel (hosting)
  • PostHog (product analytics and session replay)
  • Google Ads (conversion measurement for SimBook demo requests and trial signups)
  • Sentry (error reports)
  • Resend (email)
  • SMS delivery providers, including Telnyx or Bird when enabled (text messages)
  • OpenAI (our in-app help assistants; we don’t send payment details)
  • Seam (smart door locks, where a club uses them)
  • Google (if you choose to sign in with Google)
  • Square (only if a club connects its Square account)

Legally required disclosures: we may disclose information if the law requires it, or to protect people’s safety or our rights.

If our business changes hands, for example in a merger, your information may transfer to the new owner under this policy.

SMS consent is excluded from the sharing described above. We do not sell or share mobile numbers, text messaging opt-in data or consent with third parties or affiliates for their marketing or promotional purposes. We do not transfer your permission to receive SimBook texts to a club’s own marketing program or to another sender. Providers that deliver texts, store consent records or support the messaging service may process this information only to perform those services for us, subject to confidentiality and restrictions on their use. We may also disclose it when required by law.

5. Where it’s stored

Our providers store and process information in the United States and other countries. Those countries’ laws may differ from yours. We choose providers that protect information to the standard this policy describes.

6. How long we keep it

We keep information for as long as your account is open, or as long as a club uses our products, and then as long as needed for legal, tax and accounting purposes. Clubs can delete or anonymize customer records. Session recordings are kept for a limited time, then deleted.

7. Your choices and rights

Depending on where you live, you can ask to see, correct or delete your personal information, or withdraw consent you’ve given. California residents have these rights under the California Consumer Privacy Act, and we won’t treat you differently for using them. You can also complain to your local privacy regulator — for example, in Canada, the Office of the Privacy Commissioner.

To make a request, contact us below. For information a club holds about you, you can also ask the club directly.

If you signed in with Google, you can remove our access at any time in your Google account’s security settings.

8. Cookies and similar technologies

We use browser storage to keep you signed in and to remember your settings, and analytics tools (PostHog) to understand how our products are used. Google Ads tags measure visits and completed requests on SimBook marketing and signup pages. A club’s booking page may also use advertising tags the club has added; it asks for your consent where required.

9. Security

We encrypt information in transit, limit who can see it by role, and keep each club’s data separate from other clubs’. No system is perfectly secure; if a breach affects you, we’ll tell you as the law requires.

10. Children

Our products aren’t directed to children under 13, and children shouldn’t create accounts. A parent or guardian may include a child as a player or guest on a booking.

11. Changes to this policy

If we change this policy, we’ll update the date above. If the changes are significant, we’ll also tell you in the products or by email.
